Privacy Policy

Ivora is an all-in-one system for running a dental clinic. This page explains what information we handle in the app and related services, why we handle it, and what rights you have. Questions? Email support@ivoraclinic.com.

1. Who controls the data

Dental clinics use Ivora to run their work. The clinic that opens the account controls its patients’ information; Ivora acts as a processor that stores and handles that information for the clinic and on its instructions. Each clinic’s data stays separate from every other clinic’s, and no clinic can see another’s.

2. What we handle

  • Account information: the names, emails, and phone numbers of the clinic owner and staff. We never store your password as text; we keep a hashed fingerprint of it that cannot be reversed.
  • Clinic information: name, logo, contact details, working hours, services, and team.
  • Patient information the clinic enters: names, dates of birth, contact details, dental charts, treatment plans, prescriptions, x-ray images, documents, and payment records. This is health information, and we treat it as sensitive.
  • Technical information: what the service needs to run, such as sign-in tokens, error logs, and crash reports.

The app carries no advertising trackers. We do not use your data for ads, and we never sell or rent it. We do not collect your location or any payment-card details: payment happens outside the app, and the app contains no in-app purchase.

3. Device permissions

The app asks for a few permissions and uses each one only for its purpose:

  • Camera: to capture x-rays and patient photos.
  • Photos: to attach an image to a patient’s record, or to save an x-ray to your gallery when you share it.
  • Notifications: to remind you of appointments and recalls, and to send account messages.

You can turn off any permission from your device settings whenever you want.

4. Why we handle this data

  • To run the service: sign-in, storing and showing records, appointments, billing, and prescriptions.
  • To secure it: protect the service and stop abuse.
  • To message you about the service: account activation, password reset, staff invitations, and appointment reminders.
  • To support you: answer your questions and fix faults.

5. Providers and sharing

We share data only with providers that help us run the service, and only as far as their work needs:

  • Hosting: secure servers inside the European Union (Germany).
  • Email: a provider that sends service messages.
  • Notifications and crash reports: Firebase by Google.

These providers must protect your data under agreements with us. We may disclose data when the law requires it.

6. Security

We protect your data with industry-standard measures: encryption in transit (HTTPS/TLS), strict separation of each clinic’s data, access limited by each staff member’s role, and regular encrypted backups. No method of transmission or storage is ever fully secure, yet we keep improving our protection to safeguard what you trust us with.

7. Data retention and account deletion

We keep data for as long as the account stays active. You can delete your account from inside the app (My Account → Delete account):

  • Deleting a staff member removes their sign-in and access; the clinic’s records stay with the clinic.
  • Deleting the clinic owner removes the clinic and all of its data.

Deletion stays reversible for 30 days (sign in again to restore it). After that we erase the data permanently from our live systems, and the encrypted backups roll out on their normal cycle. Want a copy of your data? Ask before you delete, because we cannot recover it afterward.

8. Your rights

Within the limits of applicable law, you can see, correct, move, or delete your personal information. Because each clinic controls its patients’ records, patient requests go to the clinic, and we assist the clinic as its processor. Email support@ivoraclinic.com.

9. Children

The service is meant for dental professionals, not for children. When a record belongs to a minor patient, the clinic creates and manages it as part of that patient’s care.

10. Changes

We may update this policy. When we do, we post the new version here and change the “Last updated” date at the top.
